Mobile Document and Contract Management

At every access of the data in the ERP system by the email application or the mobile device, the complex access and authorization structure of cuConnect based on the SAP authorization concept begins. So every user only has access to the data, for which he is authorized.

The highest security standards are ensured at the mobile access by an encoded communication with the SAP systems and because no company data is saved on the mobile devices.

Furthermore, a certificate-based single sign-on is possible – i.e. a single signing in on the smartphone also starts the access to the application. cuConnect meets the requirements of data protection and highest data security.

cuConnect also optimizes the release and approval workflow. If a process, document etc. should be released in SAP, the responsible person receives an email from SAP asking for check and release. This mail contains a link to the SAP object, so that you can directly navigate there from the email application and the release or rejection can be done quickly.

All emails from Outlook and Lotus Notes can be transferred to SAP, assigned to respective objects and archived with only one click via Drag & Drop in original form, i.e. incl. attachments and formatting.

If such elements should be searchable later, e.g. for SAP Enterprise Search or SAP TREX, cuConnect offers an integrated machine print recognition (OCR) for pictures, graphics etc. and also a handwriting recognition (ICR).

cuConnect is a completely independently usable solution which is independent of further offers of valantic Enterprise Solutions. Additionally to SAP, cuConnect can be combined incredibly well with the document, contract and license management of valantic Enterprise Solutions or e.g. with MS Office and MS SharePoint.

With cuConnect, your managers and employees can view SAP contents, such as contract data and orders, on all common smartphone platforms (Android, BlackBerry, iOS etc.) and tablet PCs. Also, they can issue releases or call up reportings and ToDo lists at all times. All data are taken from SAP systems in real time and the updated versions are saved there as well – not on the mobile device.

With cuConnect your managers and employees are included into the process worldwide and can give information and act at all times – even if they do not have a computer with access to the company’s system. The user interface can be used intuitively and hence does not require SAP know-how.

With one click you can also start the automatic search for SAP data to sender, subject or selected words of the currently opened email. The search results are shown directly in Outlook or Lotus Notes.

The results list is comparable to that of a Google search – if you move your mouse over an entry, all important information is viewed in a quick overview.

If you want to see further information, you will get to SAP GUI with a click, without having to sign in on the SAP system again. If SAP GUI should not be used anymore, you can use the cuWeb interface.

I.e. when receiving an email regarding a supplier, the supplier record, or the HR master record of an application mail or message of an employee in human resources, can be automatically called up. The same is possible for invoices and respective orders, contracts or postings as well as further common scenarios.

Also Personal Information Managers (PIM), such as MS Outlook and IBM Lotus Notes, receive a direct connection to SAP with cuConnect. When you open your email application in the morning, you are also signed in on the SAP systems via Single Sign-on. Via the integrated free text search you can now search all SAP contents (objects and respective transactions) easily – without having to exit Outlook or Lotus Notes.

Today mobile devices shape our everyday life. With them we are available everywhere and information can be accessed quickly on the internet or via an app at all times. Lots of companies, however, do not fully use special business apps for optimization of SAP-based company processes yet. Most of the time, because apps did not offer adequate integration into ERP and security concepts were not fully developed.

The email application has been playing a central role in the business world much longer. With it appointments, tasks and contacts are managed and information is exchanged. These mostly refer to processes or data that are managed in medium and large companies with ERP systems, such as SAP. Constantly jumping back and forth between email application and SAP is inevitable.

Now cuConnect makes mobile devices, MS Outlook and IBM Lotus Notes “on-the-fly” to the portal for SAP contents – at the highest data security.
